4 Things You Need to Know Before Hiring a Call Answering Service

The phones are constantly ringing, you’re trying to perform three jobs at once, and your industry specialists are trying – and failing – to find time to do their jobs and schedule more. It’s time to find help, but you don’t even have space for a receptionist, much less the two you need.

Fortunately, there are live receptionist services located domestically. You no longer have to go overseas. A Maine based call answering service would be easy for your clients to speak to and understand, the service is familiar with local vernacular, and you know you’re helping the economy.

But before you begin searching, you need to know what kind of help you’re looking for. Call answering services can vary from one company to the next, and if you aren’t 100% sure of exactly what you need, you may end up on the hunt again.

So what are the things you should figure out before you start looking?

  1. Phone Times

Do you have clients in other time zones? Are you frequently dealing with calls outside of normal office hours? While many places, including USAnwer, have 24/7 services, not all call answering services do, so it’s something you need to know ahead of time.

  1. Whether to Use Call Forwarding and When

Some businesses want to try to take the majority of the incoming calls. If they’re busy, then any additional calls are sent to the live receptionist service. Other businesses prefer to have all calls routed through the service.

With some call answering services, you get the choice to use your current business number and use call forwarding from there. You can also get a localized number or an 800 number.

What you choose is up to you. What’s important is how you want to go about it and whether the answering service gives you the option.

  1. Answering

How do you want your phones answered? Personally and professionally should be a given, but also give some thought to the words you use.

Will they begin with Hello or jump straight to your company name? What will your opening statement be? Do you want it personalized to you, or to let the answering service create a more generic one for you? If you had an office with a receptionist at your location, how would you want them to answer the phone?

  1. Information

What kind of information does the live receptionist need to gather from your potential clients? Names and phone numbers, of course. Do they also need to find out their address and email? If your service is specific, like plumbing, do you also need to know the age of the house?

Writing down what you usually say and talk about with your clients beforehand can save you a lot of time and trouble during your search for a call answering service.

What is even more important than what you need from the service, however, is what they offer. Do they offer a trial? How long is the trial? Will you get your money back if you decide not to continue with that company or is your money treated like a non-refundable deposit?

What’s best for your company is up to you. USAnswer can help.
